Petworth Peanuts respects the privacy of our members, participating families, donors, volunteers, event attendees, website visitors, speakers, partners, and community members.

This Privacy Policy explains how Petworth Peanuts collects, uses, maintains, discloses, and protects personal information when you interact with our:

  • Website and membership portal;

  • Membership and newborn cohort programs;

  • Events, classes, lessons, equipment rentals, and family activities;

  • WhatsApp groups and other Peanuts-affiliated communication channels;

  • Virtual sessions and recordings;

  • Member directories, databases, and resource libraries;

  • Surveys, forms, email communications, and social-media accounts;

  • Donation, volunteer, and community-support programs; and

  • Other services, programs, and activities operated by Petworth Peanuts.

 

Together, these are referred to in this Policy as the “Peanuts Services.”

This Privacy Policy should be read together with the Petworth Peanuts Member Terms & Community Agreement, Messaging Application Group Policy, and any activity-specific waiver, registration form, or consent applicable to a particular program.

Privacy at a glance

 

Our central privacy commitments are:

  • We do not sell or rent member or family information, EVER.

  • We do not provide membership lists to sponsors, advertisers, political campaigns, or outside organizations for their independent marketing or outreach.

  • Our services are intended for adult parents and caregivers. Information about children is supplied and managed by their parents or legal guardians.

  • WhatsApp groups and community discussions are not guaranteed to be confidential. Other participants can see and potentially retain information shared there.

  • We use minimal personal information to operate Peanuts, provide programs, communicate with members, protect the community, and meet our legal and organizational responsibilities.

  • You may contact us to request access to, correction of, or deletion of personal information, subject to certain limitations.

1. Who we are

 

Petworth Peanuts is a volunteer-run 501(c)(3) nonprofit organization that connects and supports parents and caregivers in Greater Petworth and the surrounding community.

For purposes of this Privacy Policy, “Peanuts,” “we,” “us,” and “our” mean Petworth Peanuts.

2. Information we collect

 

The information we collect depends upon how you interact with Peanuts and which programs or services you use.

A. Information you provide directly

We may collect information that you voluntarily provide when you:

  • Create an account;

  • Purchase or receive a membership;

  • Enroll in a newborn cohort;

  • Register a spouse or partner;

  • Apply for a fee waiver;

  • Register for an event, lesson, session, rental, or other activity;

  • Join a WhatsApp group or other community channel;

  • Submit a resource, recommendation, job listing, survey response, question, or comment;

  • Make a donation or purchase;

  • Volunteer, apply for a leadership role, or contact Peanuts;

  • Submit a report, complaint, safety concern, or policy question; or

  • Communicate with us by email, form, social media, telephone, or another method.

 

The information may include:

Identity and contact information

  • Name;

  • Email address;

  • Telephone number;

  • Mailing address;

  • Neighborhood or general geographic area;

  • Account username or profile information;

  • Preferred method of communication; and

  • Spouse, partner, household, or emergency-contact information.

Membership and household information

  • Membership type and status;

  • Cohort assignment;

  • Relationship to other enrolled family members;

  • Names of participating adults;

  • General family composition;

  • Children’s names, ages, birth month and year, anticipated birth month, or developmental stage;

  • General school, childcare, activity, or family interests; and

  • Membership eligibility or fee-waiver information.

Peanuts does not need a child’s Social Security number, government identification number, or full medical record. Please do not provide highly sensitive information unless Peanuts specifically requests it for a legitimate safety, accommodation, legal, or program-administration purpose.

Event and program information

  • Registration and attendance information;

  • Waitlist selections;

  • Lesson preferences, activity level, or experience;

  • Emergency contacts;

  • Accessibility or accommodation requests;

  • Dietary restrictions or allergy information;

  • Safety information reasonably necessary for a particular activity;

  • Signed waivers or acknowledgments;

  • Equipment-rental records; and

  • Communications concerning cancellations, transfers, incidents, or special circumstances.

Community and member-submitted content

  • WhatsApp messages and posts;

  • Questions submitted to speakers;

  • Comments, recommendations, reviews, and resource submissions;

  • Survey responses;

  • Photographs, videos, or files you voluntarily submit;

  • Information included in a directory or database entry;

  • Messages sent to Peanuts volunteers or moderators; and

  • Reports, screenshots, correspondence, or other information supplied in connection with a community concern.\\

Transaction and donation information

  • Membership, cohort, event, merchandise, rental, or donation amount;

  • Transaction date and status;

  • Billing name and address;

  • Discount or fee-waiver status;

  • Donation designation or tribute information;

  • Limited payment-method information supplied by our payment processor; and

  • Information needed to issue receipts, acknowledgments, or refunds.

Payment-card information is processed through third-party payment providers. Peanuts does not intentionally maintain full payment-card numbers or card security codes in its own ordinary administrative records.

Volunteer and organizational information

  • Volunteer interests and availability;

  • Skills, experience, and professional background;

  • Employer or organizational affiliation;

  • References or application responses;

  • Committee, board, or leadership participation;

  • Training and certification information; and

  • Information necessary to manage nonprofit partnerships, grants, vendors, insurance, or community programming.

B. Information collected automatically

When you visit our website, use a member account, open certain emails, or interact with online Peanuts Services, Peanuts and its service providers may automatically collect information such as:

  • Internet Protocol address;

  • Browser and device type;

  • Operating system;

  • General location inferred from an IP address;

  • Referring and exit pages;

  • Pages viewed and features used;

  • Date, time, and duration of visits;

  • Account login and purchase activity;

  • Website errors or performance information;

  • Cookie identifiers; and

  • Email delivery, opening, or link-interaction information.

We use this information to provide website functionality, maintain security, understand how our services are used, troubleshoot problems, and improve the user experience.

C. Information obtained from other sources

We may receive information from:

  • A spouse or partner enrolling another adult in a family membership;

  • A parent or legal guardian registering a child;

  • An event co-host or program partner;

  • A payment processor;

  • A website, registration, email, or video-conferencing provider;

  • Social-media platforms when you interact with a Peanuts account;

  • Another member reporting a community or safety concern; or

  • Publicly available sources when reasonably necessary for nonprofit administration, fraud prevention, safety, or legal compliance.

 

A person who submits information about another adult or child represents that they are authorized to provide that information or have an appropriate basis for doing so.

3. How we use personal information

 

Peanuts may use personal information to:

Provide and administer Peanuts Services

 

This includes:

  • Creating and maintaining accounts;

  • Confirming membership status;

  • Processing cohort and partner enrollment;

  • Managing WhatsApp-group access;

  • Registering participants for programs and events;

  • Administering waitlists, rentals, classes, lessons, and appointments;

  • Providing members-only databases, recordings, and resources;

  • Processing payments, donations, refunds, and receipts; and

  • Responding to questions and requests.

Communicate with members and participants

 

We may send:

  • Membership and cohort information;

  • Event confirmations and reminders;

  • Schedule, weather, venue, or safety updates;

  • Access links and program materials;

  • Policy notices;

  • Renewal information;

  • Volunteer opportunities;

  • Community news;

  • Fundraising communications; and

  • Other Peanuts-related information.

Protect the community and enforce policies

 

We may use information to:

  • Administer and moderate Peanuts-affiliated spaces;

  • Review reports and complaints;

  • Document policy violations or safety concerns;

  • Investigate suspected fraud, harassment, misuse, or unauthorized access;

  • Restrict, suspend, or terminate access where appropriate;

  • Prevent circumvention of restrictions;

  • Protect members, children, volunteers, speakers, partners, and Peanuts; and

  • Enforce the Member Terms, Messaging Application Group Policy, waivers, and other applicable agreements.

Improve and evaluate Peanuts

 

We may use information to:

  • Understand participation and member needs;

  • Assess the effectiveness of programs;

  • Plan future services and events;

  • Improve website functionality and communications;

  • Prepare budgets and organizational plans;

  • Measure community impact; and

  • Support grant applications, reports, sponsorship proposals, and fundraising.

When practical, information used for external reporting will be aggregated or de-identified so that individual families are not identified.

Meet legal and organizational responsibilities

 

We may use information to:

  • Maintain financial and nonprofit records;

  • Comply with tax, insurance, grant, accounting, and legal obligations;

  • Respond to lawful requests;

  • Establish, exercise, or defend legal rights;

  • Protect against fraud or illegal activity; and

  • Manage organizational transitions or restructuring.

Carry out another disclosed purpose

 

We may also use information for another purpose that we explain when the information is collected or for which you provide consent.

4. Information about children

 

Peanuts serves families with infants and young children, but our accounts, purchases, registrations, and online communities are intended to be managed by adults. Children should not independently:

  • Create Peanuts accounts;

  • Purchase memberships;

  • Join Peanuts WhatsApp groups;

  • Submit personal information through our website; or

  • Participate in Peanuts online services without appropriate adult involvement.

A parent or legal guardian may provide information about a child when registering for a membership, cohort, event, lesson, portrait session, rental, or other family program. This may include the child’s name, age, birth month and year, general developmental stage, activity level, or safety and accommodation information.

We use children’s information only as reasonably necessary to:

  • Determine program eligibility;

  • Organize age-appropriate groups and activities;

  • Administer registrations;

  • Address safety or accessibility needs;

  • Communicate with the child’s parent or guardian;

  • Document participation where necessary; and

  • Operate Peanuts’ family programming.

We do not sell children’s personal information or use it for independent third-party advertising. A parent or legal guardian may request access to, correction of, or deletion of information concerning their child by contacting us. We may retain certain information when reasonably necessary for legal compliance, safety, insurance, financial recordkeeping, incident documentation, or the protection of Peanuts and its community.

Our adult-directed approach is consistent with the central principle of federal children’s-privacy guidance: parents should control the online collection and use of information from children under 13.'

5. WhatsApp and other member communities

 

Peanuts operates WhatsApp groups and may use other communication platforms to help members connect, exchange information, and participate in cohorts and community programs.

Information visible to other participants

 

When you participate in a WhatsApp group, other group participants may be able to see information associated with your account, including your telephone number, profile name, profile image, and anything you post. WhatsApp states that when a person is added to a group, group members can see that person’s telephone number. Messages, images, reactions, documents, and other content you post are available to the applicable group participants.

Groups are not guaranteed to be confidential

 

The Member Terms and Messaging Application Group Policy prohibit unauthorized screenshots, forwarding, publication, data harvesting, and misuse of member information. Nevertheless, Peanuts cannot guarantee that another participant will not:

  • Save a message;

  • Take a screenshot;

  • Forward content;

  • Retain contact information;

  • Copy information to another device; or

  • Disclose information in violation of Peanuts policy.

 

Please consider this before posting highly sensitive personal, medical, financial, family, employment, or identifying information.

Leaving a group or deleting a message may not delete copies previously viewed or retained by other participants or by the platform.

Moderation and incident records

 

Peanuts moderators may review content available to them within Peanuts-administered spaces and may receive reports, screenshots, correspondence, or other evidence from community members.

Peanuts may retain and use this information when reasonably necessary to:

  • Review a concern;

  • Enforce community policies;

  • Respond to harassment or retaliation;

  • Protect safety;

  • Prevent repeated or circumvented violations;

  • Consult legal counsel, insurers, or authorities; or

  • Maintain appropriate organizational records.

 

Peanuts will limit access to reports and moderation information to people who reasonably need it. However, we cannot promise complete confidentiality or anonymity when disclosure is necessary to investigate or respond to a concern, protect a person, provide a fair opportunity to respond, or comply with law.

6. Virtual sessions and recordings

 

Peanuts may host virtual speaker sessions, cohort meetings, educational programs, or community discussions through Zoom or another video-conferencing service. A virtual platform may process information such as:

  • Display name;

  • Email address;

  • Profile image;

  • Audio and video;

  • Chat messages;

  • Poll or question responses;

  • Files shared during a session; and

  • Technical and participation information.

Zoom advises that meeting hosts and participants may be able to see, save, record, or share certain meeting content and participant information, depending upon the meeting settings.

Peanuts recordings

 

When Peanuts intends to record a session, we will provide notice through the registration materials, meeting invitation, an on-screen notice, a verbal announcement, or another reasonable method.

Peanuts generally records educational or speaker-led portions of programming rather than private support conversations or sensitive member discussions.

A participant who does not wish to appear in a recording may:

  • Keep their camera off;

  • Keep their microphone muted;

  • Use a nonidentifying display name where permitted;

  • Avoid posting personal information in a recorded chat; or

  • Leave the recorded portion.

Recordings may be made available to current members, cohort members, Peanuts administrators, speakers, or service providers as reasonably necessary to operate the program. Members may not independently record, download, reproduce, publish, or distribute Peanuts sessions or recordings except with prior written authorization.

7. Photographs, video, and event media

 

Peanuts may photograph or film certain events for nonprofit communications, community updates, historical documentation, grant reporting, fundraising, social media, or program promotion.

We will make reasonable efforts to provide notice of planned photography through registration materials, event communications, signage, or announcements.

Parents and caregivers remain responsible for deciding whether a child should participate in an area in which photography is occurring. You may notify Peanuts before or during an event that you do not want yourself or your child featured in identifiable promotional material.

Peanuts will make reasonable efforts to honor such requests, particularly for close-up or individually featured images. We may not always be able to exclude or remove a person who appears incidentally in:

  • A large crowd;

  • Heavily populated public spaces;

  • A general event scene;

  • The background of an image;

  • News or documentary coverage outside Peanuts’ control; or

  • Content already printed, distributed, or reposted by another person.

Peanuts will seek additional consent when required by law or when a child’s image or personal story will be prominently featured in a testimonial, advertisement, fundraising campaign, or similar individualized promotional use.

A more detailed Photo, Video & Media Policy and activity-specific media consents may supplement this section.

8. Cookies and similar technologies

 

Our website and service providers may use cookies, pixels, local storage, and similar technologies.

These technologies may be used for:

  • Essential website functions;

  • Account login and security;

  • Shopping-cart and payment functionality;

  • Remembering user preferences;

  • Understanding website traffic and performance;

  • Measuring email engagement;

  • Preventing fraud;

  • Displaying embedded media; and

  • Connecting with social-media services

Wix-hosted websites may use essential, functional, analytics, and third-party cookies depending upon the website’s configuration and installed applications. Wix provides tools through which site owners can implement cookie notices and consent controls.

You may control cookies through your browser settings and through any cookie-consent controls made available on our website. Blocking essential cookies may prevent certain account, registration, checkout, or website features from working correctly.

9. When we disclose information

 

Peanuts may disclose personal information in the following circumstances.

 

To Peanuts volunteers, leaders, and administrators

 

Authorized board members, officers, committee members, moderators, and volunteers may access information when reasonably necessary to perform their Peanuts responsibilities.

Access should be limited to the information reasonably necessary for the task.

To service providers

 

We may use third parties to provide services such as:

  • Website hosting;

  • Membership and account administration;

  • Payment processing;

  • Email delivery;

  • Cloud storage;

  • Forms and surveys;

  • Event registration;

  • Video conferencing;

  • Accounting and bookkeeping;

  • Analytics;

  • Information technology and security;

  • Insurance administration; and

  • Legal or professional advice.

These providers may process information on our behalf and maintain their own privacy and security terms.

To other members

 

Certain information may be shared with other members when:

  • You join a WhatsApp group;

  • You submit information to a member directory or database;

  • You register for a cohort;

  • You participate in a member exchange or resource;

  • You choose to post information; or

  • Sharing is reasonably necessary for the program you requested.

 

We will never intentionally distribute a complete private membership list for unrelated use.

To event and program partners

 

We may provide limited registration or participation information to an instructor, venue, photographer, speaker, co-host, insurer, or program provider when reasonably necessary to deliver the activity, manage safety, confirm eligibility, or fulfill a member request.

For legal, safety, and enforcement purposes

 

We may disclose information when we reasonably believe disclosure is necessary to:

  • Comply with a law, subpoena, court order, or lawful government request;

  • Protect the safety or rights of a child, member, volunteer, or other person;

  • Report suspected illegal activity;

  • Address fraud, threats, harassment, retaliation, or misuse;

  • Enforce Peanuts policies or agreements;

  • Consult counsel or an insurer;

  • Establish or defend a legal claim; or

  • Protect Peanuts’ property, systems, operations, or legal interests.

With consent or at your direction

 

We may disclose information when you ask us to do so or provide consent.

In aggregated or de-identified form

 

We may share statistics or summaries that do not reasonably identify an individual family, such as:

  • Number of members served;

  • Neighborhoods generally represented;

  • Event attendance;

  • Program utilization;

  • Survey trends; or

  • Organizational impact.

Organizational transition

 

If Peanuts undergoes a merger, reorganization, transfer of programs, dissolution, or similar organizational transition, relevant information may be transferred to a successor or partner organization, subject to applicable law and reasonable privacy safeguards.

10. What we do not do

 

Peanuts does NOT:

  • Sell or rent member or family information;

  • Sell membership directories;

  • Give sponsors a member list for their independent marketing;

  • Provide member information to political candidates, campaigns, or partisan organizations for political outreach;

  • Permit service providers to use Peanuts information for unrelated purposes merely because they provide a service to us; or

  • Publicly identify a member’s private report or sensitive family information unless authorized, reasonably necessary, or legally required.

Peanuts may acknowledge donors, volunteers, sponsors, or community partners publicly when appropriate. A donor may request that a donation be treated anonymously in public-facing recognition.

11. Payments and financial information

 

Purchases and donations may be processed through Wix Payments or another payment provider.

The payment provider may collect payment-card and billing information directly. Peanuts may receive transaction information such as:

  • Purchaser or donor name;

  • Contact information;

  • Amount paid;

  • Date and status;

  • Payment method type;

  • Limited card details, such as the last four digits;

  • Transaction identifier; and

  • Refund or dispute information.

Wix states that its payment environment is subject to Payment Card Industry Data Security Standards.

The payment provider’s handling of payment information is also governed by its own privacy and security policies.

Please do not send full payment-card numbers through email, WhatsApp, ordinary contact forms, or direct messages.

12. Data retention

 

Peanuts retains personal information for as long as reasonably necessary to:

  • Provide the requested services;

  • Maintain an active membership or program;

  • Communicate with members;

  • Maintain accurate financial and nonprofit records;

  • Meet tax, insurance, grant, or legal requirements;

  • Resolve disputes;

  • Enforce agreements;

  • Document safety or community incidents;

  • Prevent fraud or repeated misconduct; and

  • Protect Peanuts and its community.

Different categories of information may be retained for different periods. For example:

  • Routine account information may be retained while an account is active and for a reasonable period afterward;

  • Financial and donation records may be retained for legally or administratively required recordkeeping periods;

  • Waivers and incident information may be retained based on legal, insurance, or safety needs;

  • Moderation records may be retained when relevant to repeated conduct, member safety, or policy enforcement;

  • Recordings may be removed when they are no longer useful for the applicable member program; and

  • Backup copies may remain temporarily after information is deleted from active systems.

When information is no longer reasonably needed, we may delete, anonymize, aggregate, or securely dispose of it, subject to practical and legal limitations.

13. Information security and data breaches

 

Peanuts uses reasonable administrative, technical, and physical safeguards appropriate to the nature of the information and the organization’s size and resources.

These safeguards may include:

  • Password-protected accounts;

  • Access restrictions;

  • Multifactor authentication where available;

  • Secure payment providers;

  • Limited volunteer access;

  • Platform security controls;

  • Periodic access review; and

  • Appropriate deletion or archiving practices.

No website, email account, cloud platform, group chat, payment system, or electronic storage method can be guaranteed to be completely secure.

Members are responsible for:

  • Protecting passwords and devices;

  • Not sharing private access links;

  • Using appropriate privacy settings;

  • Promptly reporting suspected unauthorized account access; and

  • Exercising care when posting information in group spaces.

If Peanuts discovers a qualifying breach involving protected personal information, we will investigate and provide notices to affected individuals and government authorities when required by applicable law. D.C. law requires covered entities to notify affected District residents promptly and, in certain circumstances, to notify the Office of the Attorney General.

14. Your choices and privacy requests

 

You may contact Peanuts to request that we:

  • Confirm whether we maintain personal information about you;

  • Provide a reasonable copy or summary of information associated with you;

  • Correct inaccurate or outdated information;

  • Update your communication preferences;

  • Remove you from an optional directory or database;

  • Delete information that is no longer reasonably necessary;

  • Close a website account;

  • Withdraw a previously granted consent;

  • Stop sending optional marketing or fundraising email; or

  • Consider removing an identifiable photograph or recording.

Include:

  • Your name;

  • The email address or telephone number associated with your account;

  • The nature of your request; and

  • Enough information for us to identify the relevant record.

We may ask for reasonable verification before acting on a request. A parent or guardian requesting information concerning a child may be asked to confirm their authority.

We may decline or limit a request when retaining or using the information is reasonably necessary to:

  • Complete a requested transaction;

  • Maintain required financial or nonprofit records;

  • Comply with law;

  • Protect safety;

  • Address fraud or misuse;

  • Enforce an agreement;

  • Maintain legal, insurance, incident, or dispute records;

  • Protect another person’s privacy; or

  • Exercise or defend legal rights.

Deleting information from Peanuts’ own systems will not necessarily delete:

  • Messages or screenshots retained by other members;

  • Information independently held by a third-party platform;

  • Copies contained in backups;

  • Public content reposted by another person; or

  • Records Peanuts is entitled or required to retain.

Where applicable law provides additional privacy rights, Peanuts will honor those rights as required.

15. Email and communication preferences

 

Members may unsubscribe from optional promotional, fundraising, or general-news emails through the unsubscribe link in the message or by contacting Peanuts.

Even when a person opts out of optional communications, Peanuts may continue to send essential messages relating to:

  • An active membership;

  • A registration or purchase;

  • Cohort participation;

  • Event access;

  • Safety or weather;

  • Policy changes;

  • Account security;

  • A privacy request; or

  • Another existing relationship with Peanuts.

Leaving an email list does not automatically remove a person from WhatsApp groups, close a website account, cancel a registration, or delete prior records.

16. Third-party platforms and links

 

Peanuts uses and links to services operated by other organizations, which may include:

  • Wix;

  • WhatsApp and Meta;

  • Zoom;

  • Payment processors;

  • Google services;

  • Twice rental platform;

  • Email platforms;

  • Social-media platforms;

  • Event-registration services;

  • Mapping services; and

  • Independent speakers, venues, vendors, or program providers.

Those organizations maintain their own privacy and data-handling practices. This Privacy Policy governs Peanuts’ practices, not the independent practices of a third-party service.

Before providing sensitive information through a third-party service, you should review its privacy settings and policies.

17. Governing Law

 

This Privacy Policy and Peanuts’ privacy practices are governed by applicable federal law and the laws of the District of Columbia. Nothing in this section limits any privacy or consumer right that cannot lawfully be waived or restricted. 

18. Processing in the United States

 

Peanuts is based in Washington, D.C. Our information and service providers may store or process information in the United States or other locations in which they operate.

A person accessing Peanuts Services from outside the United States understands that information may be transferred to and processed in the United States, where privacy laws may differ from those in their location.

19. Changes to this Privacy Policy

 

Peanuts may update this Privacy Policy to reflect:

  • Changes in our programs;

  • New technology or service providers;

  • Community experience;

  • Legal or regulatory developments;

  • Safety needs; or

  • Organizational practices.

The current policy will be posted on our website with its effective date.

When a change materially affects how we use previously collected personal information, we will provide reasonable notice through email, the website, an account notice, or another appropriate method.

We will seek consent when required by law or when we choose to use information in a materially different way that is not reasonably covered by the policy in effect when it was collected.
